Job Description

We are seeking a responsible and organized Chiller and Warehouse Supervisor to oversee the daily operation of the chilled warehouse and ensure that all stock is received, stored, handled, counted, and dispatched accurately and efficiently. The role is responsible for maintaining proper FIFO (First In, First Out) and, where applicable, FEFO (First Expired, First Out) stock rotation, monitoring chiller conditions, controlling stock movements, coordinating stock-in and stock-out activities, and ensuring that warehouse records match the physical inventory. Responsibilities include managing the daily operation of the chilled storage area; regularly monitoring and recording chiller temperatures and ensuring they remain within the required limits; ensuring products are stored correctly according to their type and storage requirements; maintaining cleanliness, hygiene, organization, and safety standards inside the chiller; immediately reporting temperature issues, equipment problems, damaged products, and other abnormalities; and ensuring that products are properly labelled and arranged for easy identification and access. The supervisor will oversee the receipt of incoming products, check received quantities against purchase orders, delivery notes, or invoices, inspect products for quantity, quality, damage, packaging condition, and expiry dates, accurately record all received stock in the inventory system or stock records, ensure newly received products are promptly stored in the correct location, and identify and report shortages, excess quantities, damaged goods, and discrepancies. The role also involves controlling all stock leaving the warehouse, preparing and verifying orders before dispatch, ensuring that the correct product, quantity, batch, and expiry date are picked, verifying dispatch documents, accurately recording stock movements, coordinating with delivery drivers, sales, purchasing, and other relevant departments, and preventing unauthorized stock from leaving the warehouse. The supervisor must maintain strict FIFO and, where applicable, FEFO procedures; organize products according to receiving date, batch number, and expiry date; regularly check products approaching expiry; report slow-moving, short-dated, expired, or damaged stock to management; and ensure that older or shorter-dated products are prioritized for dispatch where appropriate. Duties also include maintaining accurate physical stock levels, conducting regular stock counts and cycle counts, investigating differences between physical stock and system records, monitoring stock movements and ensuring that every movement is properly recorded, minimizing stock losses, wastage, damage, and unexplained discrepancies, and maintaining accurate records of stock adjustments, returns, damages, and disposals. The supervisor will supervise warehouse staff and assign daily tasks, ensure that staff follow proper receiving, storage, picking, and dispatch procedures, maintain an organized warehouse with clearly identified storage locations, ensure compliance with hygiene, safety, and company procedures, monitor staff performance, address operational issues promptly, and train new warehouse employees in proper stock handling and warehouse procedures. Regular updates must be provided to management regarding daily stock-in and stock-out, current inventory levels, stock discrepancies, damaged and rejected products, expiring and expired products, chiller temperatures and operational issues, stock wastage and losses, and any other warehouse or inventory problems. Candidates should have previous experience in warehousing, inventory, cold storage, food distribution, fast-moving consumer goods, or a similar environment; a strong understanding of inventory control and stock management; practical knowledge of FIFO and FEFO; and preferably experience managing chilled or temperature-controlled products. The position also requires good attention to detail, strong organizational skills, the ability to supervise warehouse staff and manage daily operations, basic computer skills and the ability to work with inventory or warehouse management systems, the ability to perform physical stock counts and investigate discrepancies, good communication and problem-solving skills, and a reliable and disciplined approach with the ability to take responsibility for warehouse operations. The Warehouse Supervisor is expected to maintain high inventory accuracy, minimal stock discrepancies and unexplained losses, proper FIFO and FEFO compliance, accurate and timely stock-in and stock-out records, minimal expired or wasted products, proper chiller temperature records and compliance, clean, organized, and safe warehouse conditions, accurate and timely order preparation, and efficient receiving and dispatch operations. The main responsibility of the position is to ensure that the right product, in the right quantity and condition, is stored correctly and can be accounted for at all times, from receipt into the chiller until final dispatch.
