Material Coordinator
Job Description
Gulfaar Group is seeking an experienced Material Coordinator for a major Master Gas System EPC project in Saudi Arabia, based in Hofuf. The role involves coordinating and controlling the complete material management process from procurement through delivery to the project site, working with Engineering, Procurement, Construction, Warehouse, Logistics, QA/QC and Project Controls teams to ensure the timely availability of materials. Responsibilities include monitoring Material Requisitions, Purchase Orders, Material Receiving Reports, Material Issue Vouchers and other material documentation; tracking procurement, manufacturing, inspection, delivery and site receipt against the project schedule; maintaining and regularly updating Material Status Reports and material tracking systems; following up with vendors, suppliers, expeditors and logistics teams on delivery schedules; coordinating with the warehouse and store team for the receiving, inspection, identification, storage and preservation of materials; monitoring shortages, surplus materials, damage and discrepancies and coordinating corrective actions; ensuring material availability in line with construction priorities and look-ahead schedules; coordinating material requirements for piping, mechanical, electrical, instrumentation, civil and other EPC disciplines; supporting the preparation of material forecasts and procurement schedules; reviewing Material Test Certificates, inspection certificates, delivery notes, packing lists and related quality documents; coordinating with QA/QC to ensure that the required material certificates and inspection documentation are available before material release; preparing regular material progress reports and highlighting critical or long-lead materials, delays and potential shortages; and ensuring compliance with project specifications, EPC procedures and Saudi Aramco requirements, where applicable. A bachelor’s degree or diploma in Engineering, Supply Chain, Logistics, Materials Management or a related discipline is required, along with 5–10 years of relevant experience in Material Coordination or Material Control within Oil & Gas, EPC or pipeline projects. Previous experience with EPC contractors is strongly preferred, while experience with Saudi Aramco, MGS or major gas pipeline projects is highly advantageous. Candidates should have a strong understanding of EPC material procurement, expediting, logistics, warehouse operations and site material coordination, together with good knowledge of piping and mechanical materials, fittings, valves, structural materials, E&I materials and associated project documentation. Experience with Material Tracking Systems, ERP systems or SAP is preferred, as are strong coordination, reporting and follow-up skills and the ability to coordinate effectively with Engineering, Procurement, Vendors, Warehouse, Construction and QA/QC teams. Candidates currently available in Saudi Arabia and able to join at short notice are preferred.
