Travel Operations Specialist – Detailed Job Description Job Title: Travel Operations Specialist Department: Travel / Operations Location: Saudi Arabia Reports To: Travel Operations Manager / Operations Manager Job Summary The Travel Operations Specialist will be responsible for the efficient management and seamless coordination of daily travel operations. This role entails ensuring the uninterrupted delivery of travel services, which includes managing reservations, organizing comprehensive itineraries, arranging transportation, securing accommodation, and providing outstanding customer support. The ideal candidate must demonstrate exceptional organizational capabilities, meticulous attention to detail, effective coordination with suppliers, and a proactive approach to resolving travel-related challenges in an efficient manner. Key Responsibilities • Oversee the entire spectrum of travel arrangements, including flight bookings, hotel accommodations, ground transportation, transfers, and the creation of detailed travel itineraries. • Manage and coordinate both domestic and international travel bookings in alignment with the specific requirements of clients or the organization. • Handle all aspects of reservation processing, ticket issuance, modifications, cancellations, refunds, and rebooking activities. • Develop and prepare detailed travel itineraries, ensuring that every component of the travel plan is confirmed and accurate before the commencement of travel. • Liaise and maintain communication with airlines, hotels, ground transportation providers, travel agencies, and various other service suppliers to guarantee optimal service delivery. • Actively monitor flight schedules, including delays, cancellations, and other operational disruptions, and promptly organize suitable alternative arrangements to minimize inconvenience. • Respond to customer inquiries with professionalism and provide timely assistance at all stages — prior to travel, during travel, and after completion of the journey. • Ensure that all travel documentation, booking details, and passenger information are precise, complete, and regularly updated to avoid any discrepancies. • Engage in negotiations with travel suppliers where applicable to secure competitive pricing, favorable conditions, and advantageous terms of service. • Monitor all travel-related expenses carefully, ensuring that all bookings comply with the approved budget limits and company travel policies. • Maintain comprehensive and accurate records of all bookings, including invoices, tickets, travel vouchers, and supporting travel documentation. • Coordinate efficiently with the Finance department concerning invoicing, payment processing, refunds, and the reconciliation of all travel expenditures. • Support and enhance corporate travel programs, guaranteeing strict adherence to organizational travel policies and procedures. • Prepare detailed operational reports detailing bookings, costs incurred, cancellations, and overall travel activity to inform management and aid in decision-making. • Foster and maintain strong, collaborative relationships with travel suppliers and service providers to ensure consistent service quality and reliability. • Address and resolve customer complaints and any operational issues in a professional, timely, and effective manner. • Continuously identify and recommend opportunities to improve travel processes, enhance service quality, and increase operational efficiency. • Ensure full compliance with all relevant travel regulations, company policies, and recognized industry standards throughout all travel operations activities. Requirements • Possession of a Bachelor’s degree or diploma in Travel & Tourism, Hospitality, Business Administration, or a closely related field is mandatory. • A minimum of three to five years of proven experience within travel operations, corporate travel management, tourism, or travel agency environments. • Comprehensive knowledge of airline reservation systems, hotel booking procedures, ticketing processes, and overall travel coordination practices. • Prior experience working with Global Distribution Systems (GDS) such as Amadeus, Sabre, or Galileo is preferred and considered an advantage. • Sound understanding of domestic and international travel processes and relevant regulations. • Exceptional communication skills combined with strong customer service orientation. • Excellent organizational capabilities paired with effective time management skills to handle multiple tasks efficiently. • Keen attention to detail and a commitment to accuracy in all aspects of work. • Proficient negotiation skills, problem-solving aptitude, and the ability to coordinate effectively with multiple stakeholders. • Strong proficiency in Microsoft Office applications, with particular emphasis on Excel and Outlook for reporting and communication purposes. • Ability to perform well under pressure, managing numerous bookings and conflicting priorities simultaneously. • Fluency in English is required, while proficiency in Arabic is regarded as an additional advantage.
Requirements
- Bachelor's degree or diploma in Travel & Tourism, Hospitality, Business Administration, or related field.
- 3 to 5 years experience in travel operations, corporate travel, tourism, or travel agency environment.
- Strong knowledge of airline reservations, hotel bookings, ticketing, and travel coordination.
- Experience with GDS systems such as Amadeus, Sabre, or Galileo preferred.
- Good knowledge of domestic and international travel procedures.
- Strong communication and customer service skills.
- Excellent organizational and time-management abilities.
- Strong attention to detail and accuracy.
- Good negotiation, problem-solving, and coordination skills.
- Proficiency in MS Office, especially Excel and Outlook.
- Ability to work under pressure and manage multiple bookings and priorities.
- Good command of English; Arabic is an advantage.
