Job Description

Job Description We are seeking a Procurement Administrator specializing in Construction to provide essential support for our procurement and purchasing functions. The ideal candidate will possess a solid background in construction, comprehensive knowledge of construction materials and suppliers, and proven experience in managing purchase orders, obtaining quotations, coordinating with suppliers, and monitoring delivery schedules. Key Responsibilities - Manage daily procurement and purchasing tasks related to construction projects to ensure smooth operations. - Receive purchase requests and oversee the procurement process from initiation through to the final delivery stage. - Identify and source construction materials, tools, equipment, and consumables required for various projects. - Solicit quotations from multiple suppliers and create detailed quotation comparison sheets for analysis. - Engage in regular communication with suppliers to discuss pricing, availability of materials, payment terms, and delivery timetables. - Prepare and administer all relevant procurement documents, including Purchase Orders (POs), Local Purchase Orders (LPOs), Requests for Quotations (RFQs), delivery notes, Goods Received Notes (GRNs), and supplier invoices. - Conduct follow-ups on pending purchase orders to ensure timely receipt of materials at project sites, preventing any delays. - Collaborate closely with project managers, engineers, site teams, storekeepers, accounting departments, and suppliers to coordinate procurement activities effectively. - Maintain and regularly update comprehensive records of suppliers and vendors, along with procurement registers to track procurement progress. - Monitor ongoing material requirements, outstanding orders, delivery timelines, and existing stock levels to optimize material flow. - Assist in verifying supplier invoices against purchase orders and delivery documents to ensure accuracy in payments. - Organize and maintain precise procurement files and documentation to provide reference material for management and project teams. - Support the resolution of issues related to delayed, incorrect, damaged, or incomplete deliveries in a timely manner. - Prepare detailed procurement status reports and tracking spreadsheets utilizing Microsoft Excel for transparent monitoring. Requirements - A minimum of 2 to 3 years of experience in procurement, purchasing administration, or an equivalent function. - Experience working within the construction industry is required and will be highly valued. - Strong understanding of construction materials, supplier networks, and standard purchasing procedures. - Proficient in handling procurement documentation such as POs, LPOs, RFQs, quotations, GRNs, invoices, and delivery records. - Competent user of Microsoft Office applications, specifically Excel and Word. - Familiarity with ERP or procurement software systems is considered an advantage. - Excellent organizational, administrative, and communication skills, complemented by effective follow-up capabilities. - Proven ability to negotiate effectively and coordinate efficiently with multiple suppliers. - Capability to manage several purchase orders and supplier needs simultaneously without compromising accuracy. - Experience in the Bahrain construction market is highly preferred. - Candidates must currently be residing in Bahrain. - Immediate availability to join our team is strongly preferred. Preferred Candidate We invite applications from individuals who have prior experience working with construction contractors, fit-out companies, engineering firms, or suppliers of building materials within Bahrain. These backgrounds will be considered highly advantageous.

Requirements

  • Minimum 2–3 years' experience in procurement or purchasing administration.
  • Construction industry experience preferred.
  • Knowledge of construction materials, suppliers, and procurement procedures.
  • Experience with Purchase Orders (POs), Local Purchase Orders (LPOs), Requests for Quotation (RFQs), quotations, Goods Received Notes (GRNs), invoices, and delivery documentation.
  • Proficient in MS Office, especially Excel and Word.
  • ERP or procurement software knowledge is an advantage.
  • Strong organizational, communication, negotiation, and supplier coordination skills.
  • Ability to manage multiple procurement orders simultaneously.
  • Experience in Bahrain’s construction sector is highly preferred.
  • Currently based in Bahrain and available for immediate joining.
