Job Description
Job Overview We are seeking a well-organized and highly experienced Purchasing Coordinator specializing in Construction to manage and support all purchasing and procurement activities associated with our construction projects. The successful candidate will act as a key liaison, coordinating effectively with suppliers, site teams, engineers, stores personnel, accounts departments, and management. This role is essential to ensure that construction materials and all project-related requirements are procured at the most competitive prices while guaranteeing timely delivery to meet project schedules. Key Responsibilities - Manage and coordinate the entire purchasing process, beginning from the receipt of purchase requisitions through to the delivery of materials and equipment. - Source a wide range of construction-related items including construction materials, MEP (Mechanical, Electrical, and Plumbing) materials, tools, equipment, consumables, and any other site necessities. - Collect, request, and evaluate supplier quotations and meticulously prepare quotation comparison sheets to facilitate informed decision-making. - Conduct negotiations with suppliers involving prices, payment terms, available discounts, and delivery timelines to achieve the best possible procurement outcomes. - Prepare and process all necessary purchasing documentation such as Purchase Orders (POs and LPOs), Requests for Quotations (RFQs), and any other related documents in compliance with company policies. - Maintain consistent follow-up with suppliers regarding outstanding orders and confirm delivery schedules to ensure on-time receipt of materials. - Collaborate closely with Project Managers, Engineers, Quantity Surveyors, Site Supervisors, Stores teams, and Accounting departments to ensure seamless procurement integration within project workflows. - Ensure that all materials purchased align strictly with the approved project specifications, covering the correct quantities, quality standards, and project requirements. - Verify delivery notes, invoices, and received material stock against purchase orders to maintain accuracy and avoid discrepancies. - Keep supplier databases current and maintain accurate records of quotations, purchase registers, and delivery logs for effective tracking and auditing purposes. - Monitor outstanding purchase orders and anticipate upcoming material requirements to support project planning and minimize delays. - Assist in resolving procurement-related issues such as delays in delivery, material shortages, receipt of incorrect items, or damages encountered during shipment. - Support the Accounts department by verifying invoices and reconciling supplier statements to facilitate smooth financial operations. - Prepare comprehensive purchasing reports and provide regular updates to the management team on procurement status, challenges, and achievements. Requirements - Possess between 2 to 4 years of hands-on experience in purchasing or procurement, preferably within the construction sector. - Demonstrate strong familiarity with construction materials and an extensive knowledge of local suppliers operating in Bahrain. - Previous work experience within the Bahrain construction market is highly preferred and may be deemed essential. - Proven experience in handling documentation such as quotations, RFQs, POs/LPOs, delivery notes, and invoices in a professional purchasing environment. - Strong negotiation skills coupled with excellent communication, coordination, and diligent follow-up capabilities. - Proficient user of Microsoft Excel, Word, and Outlook, ensuring effective data management and communication. - Exhibit excellent organizational abilities and an acute attention to detail. - Capability to manage multiple suppliers, simultaneous purchase orders, and respond promptly to urgent project requirements. - Experience with GCC (Gulf Cooperation Council) construction markets is considered a valuable advantage. - Must be currently residing and immediately available in Bahrain. - Candidates ready for immediate joining are strongly preferred. Preferred Candidate Applicants who have prior experience working with construction contractors, fit-out companies, MEP firms, or building material suppliers will be given priority consideration. Those with an existing strong network of Bahrain-based suppliers and industry contacts will also be highly favored.
Requirements
- 2–4 years of experience in purchasing or procurement within the construction industry.
- Strong knowledge of construction materials and local suppliers in Bahrain.
- Experience preparing and managing quotations, RFQs, purchase orders, delivery notes, and invoices.
- Good negotiation, communication, coordination, and follow-up skills.
- Proficient with MS Excel, Word, and Outlook.
- Strong organizational skills and attention to detail.
- Ability to manage multiple suppliers and urgent project requirements.
- Experience in GCC construction is advantageous.
- Currently available in Bahrain.
- Immediate joiners preferred.
- Experience with construction contractors, fit-out companies, MEP companies, or building material suppliers.
