Job Description
Mast Shipping Agency, a ship and NVOCC agency in the Kingdom of Bahrain, is seeking experienced Import and Export Documentation Executives. Candidates must have a good command of English, including clear spoken pronunciation and the ability to draft emails and letters quickly, while prior experience in ship or NVOCC agency documentation and coordination in Bahrain is an added advantage. The Import Documentation Executive will handle FCL imports for all lines under the agency agreement, coordinate with all line network agents, file discharge advice with feeder operators and Customs for the manifest reference code, prepare import discharge lists, prepare and send arrival notices to consignees for import containers arriving in Bahrain, issue import FCL delivery orders, collect import detention charges, follow up with import consignees regarding container clearance and the safe return of empty containers, maintain contact with container depots regarding container inventory and status, prepare import detention reports for all lines to support the Accounts Department with monthly statements of account, update all container line inventories using reports received from port operators, send inventory reports to principal lines and update the inventory in their software systems, and prepare and circulate container status reports to the relevant colleagues. Export Documentation Executives will handle export documentation, send Special Rate Requests, pre-alerts and transport documents to principal lines, submit daily, weekly or monthly line reports according to the principal’s requirements, send slot bookings to all vessel operator agents for exports, secure export bookings, release export containers through the system, prepare gate-in documents and document packets with seals for shippers or their messengers to collect from the office without delay, monitor the release of export containers, update principal-line software systems with container movements, generate bills of lading according to the shipping instructions received from shippers, prepare online and manual bill of lading drafts for shipper approval, prepare export electronic invoices through the software system and send them to shippers, collect payments from shippers against the release of bills of lading and follow up on outstanding payments, handle courier dispatches containing all required documents for overseas consignees when necessary, coordinate with shippers regarding upcoming container requirements and prepare lists for the principal to update and control the flow of imports, coordinate regularly with principal lines, update shippers during container movements on the status of FCL shipments and their tentative arrival dates at destination, prepare monthly export, import and empty repositioning data for each principal line in the system for the monthly and yearly reference of senior management and Accounts, coordinate with yard operators regarding releases and with vessel operating agents to update load lists until the final minute of port gate closing, ensure that any additional charges arising from early gate-in, shut-out, late gate-in or similar circumstances are communicated to shippers by email and telephone, and ensure that released containers are handled on a first-in, first-out basis.
Requirements
- Good command of English, including a good verbal accent and speed in drafting emails and letters.
- Prior ship or NVOCC agency documentation and coordination experience in Bahrain is an added advantage.
